Grant Assistant Manager/Manager, Mandai Nature

Mandai Nature is a successful Singapore-based non-profit conservation organisation jointly set up by Temasek and Mandai Wildlife Group (which manages zoological parks including Singapore Zoo, Night Safari, River Wonders, Rainforest Wild and Bird Paradise). Mandai Nature is the conservation arm of Mandai Wildlife Group and was established with the aim of advancing efforts on biodiversity protection in Singapore and Asia. Through impactful programmes and innovative partnerships Mandai Nature strives to protect nature and inspire action.
Job Duties and Responsibilities:
1. Outgoing Grants Management
Manage the end-to-end administration of grant programmes, including application, assessment, approval, disbursement, monitoring, and closure.
Ensure grants are managed in accordance with approved policies, funding objectives, and timelines.
Work closely with Programme team to ensure grants are aligned with grant criteria and defined projects and partner priorities
Administer grantmaking processes for identified grantees, including application intake, assessment coordination, approvals, contracting, and fund disbursement.
Conduct due diligence reviews on prospective grantees, including governance, financial, and compliance assessments.
Monitor grantee progress against approved milestones, budgets, and reporting requirements.
Review and track grantee reports, deliverables, and grant utilisation.
Maintain accurate grant files and records throughout the grant lifecycle.
Support grant evaluations, monitoring visits, and impact assessments where required.
2. Incoming Grants Management
Coordinate and monitor incoming grants to ensure funding agreements, budgets, deliverables, and reporting requirements are fulfilled.
Maintain accurate grant records and track funding utilisation.
Coordinate and manage the administration of grants received from foundations, corporations, government agencies, and other funding partners.
Support the preparation and submission of grant proposals, budgets, applications, and supporting documentation.
Maintain grant tracking systems, reporting schedules, and compliance requirements.
Consolidate programme and financial information from internal teams for donor reporting.
Prepare timely narrative and financial reports in accordance with grant agreements.
Ensure grant records and documentation are complete, accurate, and audit-ready.
3. Governance, Compliance & Reporting
Ensure compliance with grant policies, funding agreements, and regulatory requirements.
Maintain accurate documentation and prepare timely reports, dashboards, and updates for management, funders, and auditors.
Ensure compliance with grant agreements, organisational policies, and regulatory requirements.
Work with the Mandai Nature legal team regarding changes to grant processes and documents
Conduct due diligence on potential grantees and grantors.
Maintain grant management documentation.
Support grant audits, reviews, and reporting requirements.
Monitor grant-related risks and escalate issues where appropriate.
Prepare grant portfolio updates, dashboards, and reports for management review.
4. Stakeholder Coordination
Maintains a support relationship for internal teams, grantors and grantees.
Coordinate communications, meetings, and follow-up actions to support effective grant delivery and stakeholder engagement
Serve as a key point of contact for internal programme teams and external grantor and grantees
Coordinate with internal Programme Leads to review and provide inputs to project proposals, and liase with potential grantees to revise project proposals
Coordinate with Finance on grant budgets, fund utilisation, and financial reporting
Liaise with grantors and grantees on reporting and administrative matters
Guide the grant recipients on grant application process including information required for the application, compliance with grant process and criteria, and the use of grant management system.
Job Requirements:
Degree in Business Administration, Non-Profit Management, Finance, Accounting, Social Sciences, Environmental Science, Conservation, or a related discipline.
Professional certifications in project management, grant management, governance, or compliance would be advantageous.
At least 5 years of relevant experience in grant management, grant administration, project management, or a related field.
Experience managing the full grant lifecycle, including application, due diligence, contracting, monitoring, reporting and close-out.
Experience engaging and managing relationships with grantees, partners and internal stakeholders.
Experience in a charity, non-profit organisation, foundation, public sector agency, research institution or donor-funded environment would be an advantage
Experience using grant management systems, CRM platforms and reporting tools
Strong organisational skills with the ability to manage multiple grants, stakeholders and deadlines concurrently.
Meticulous attention to detail and commitment to accuracy in grant administration, documentation and reporting.
Strong analytical and critical thinking skills with the ability to assess grant proposals, risks and funding outcomes objectively.
Excellent interpersonal and stakeholder management skills, with the ability to build trusted relationships with grantors, grantees and internal teams.
Strong written and verbal communication skills, including the ability to prepare clear reports, recommendations and funding updates.
