About Asian Species Action Partnership
The Asian Species Action Partnership (ASAP) is focused solely on the conservation of Critically Endangered land and freshwater vertebrate species (ASAP Species) found in Southeast Asia. The ASAP Secretariat is hosted by Mandai Nature in Singapore and is convened under the IUCN Species Survival Commission. ASAP’s Partnership consists of over 280 organisations, the majority of which are local NGOs in Southeast Asia, working on the frontline of species conservation.
ASAP’s 5-year strategy is guided by three areas of intervention: amplifying funding and knowledge; strengthening local organisations to be resilient and successful; investing in people to grow skills, motivation and impact. By providing resources, building connections and empowering teams, ASAP works to catalyse and accelerate conservation for ASAP Species so that threatened wildlife can thrive alongside people and communities.
Your opportunity
We are seeking a highly organised Business Operations and Finance Assistant Manager to support the delivery of ASAP’s programmes. Working closely with the ASAP Director and Mandai Nature's Finance and Operations team, you will support business operations, financial management and administration, and compliance and risk to ensure efficient, compliant and impactful delivery of ASAP's programmes including grant making, leadership development. This role is ideal for someone excited about developing effective business operations for a non-profit and enjoys working in a small and collaborative team in support of local conservation organisations in Southeast Asia.
Job Duties and Responsibilities:
Business Operations
Work across the organisation to streamline templates, systems, frameworks, business improvements and standard ways of working, including managing the implementation of business systems and processes.
Remain up to date with Mandai Nature policies and procedures to ensure ASAP processes and systems dovetail seamlessly across corporate services and functions including, HR, finance.
Ensure funding flows, compliance, systems, reporting and delivery capacity are aligned and implemented.
Support the Director with internal coordination for donor contracts, secure and review procurement quotes for external consulting services and coordinate contractual processes including signature tracking and invoice tracking.
Financial Management and Administration
Prepare draft annual budgets and coordinate monthly financial reports from the Director to review and disseminate relevant information to designated programme team members.
Support the Director and Programme Leads with programme budgeting and ongoing financial management.
Manage financial administration including vendor onboarding, processing of invoices, expense reporting, coordinate expenditure approvals and payments in the Mandai Nature finance system.
Support the Director and Programme teams to track funds, reconcile funding and undertake budgetary and financial reporting as required.
Proactively liaise with Mandai Nature on finance management payment types to support smooth programme delivery and streamline financial processes.
Programme Support
Support the Director and Senior Leadership Team to create a programme growth model and workforce planning based on financial risks and compliance.
Provide administrative support for the grant programme including due diligence (including financial due diligence) and disbursements / document handling.
Partner with Programme Leads to plan for and execute on workforce requirements for programme delivery based on capabilities, availability, costs and launch timing, including providing support on business cases and programme budgets to seek funding.
Compliance and Risk
Coordinate and track approvals, signatures and maintain records across agreements, contracts and donor agreements.
Ensure compliance are adhered to and refine as needed to minimise administrative requirements across ASAP and provide administrative support for all compliance, auditing and due diligence processes and administration (including drafting of contracts).
Together with Mandai Nature, develop and implement governance and risk management frameworks and practices, ensuring adherence and mitigating risks.
Job Requirements:
1 Year Fixed Term Contract (Renewable)
Qualifications in Business Management, Finance or an associated field.
6+ years of experience in business operations, financial administration, reporting and process improvement.
Experience working in a non-profit organisation
Capabilities in attention to detail, organisation, financial management, communication and relationship management.
An understanding of conservation organisations and/or non-profit organisations desirable.
Experience managing donor funds desirable.
